Bookkeeper vs Doing Xero Yourself: The Real Cost

DIY bookkeeping looks free until you count your hours, the mistakes and the year-end clean-up. Here's an honest comparison to help you decide.

Plenty of business owners start out doing their own books in Xero, and that’s often the right call early on. The question is when the hours you spend in the software start costing more than handing it over.

Quick answer: DIY makes sense while you have a handful of transactions, no staff and time to spare. Once you’re running payroll, lodging BAS and spending more than a few hours a month in Xero, a bookkeeper usually costs less than your time, and fewer mistakes save money at year end.

DIY versus outsourced bookkeeping cost comparison

The software cost

Xero’s Australian plans currently run from about $37 a month for Ignite to $107 a month for Comprehensive, with higher Ultimate tiers for larger payrolls. Prices change from time to time, so check Xero’s site for the latest. You’ll pay for software either way. When we manage your subscription, you also save 10% on it.

The cost most owners don’t count: time

A business with a few hundred transactions a month, a small team and quarterly BAS can easily spend 6 to 10 hours a month on bookkeeping when it’s done properly. That includes reconciling, chasing receipts, running payroll and preparing BAS.

Those are hours not spent selling, hiring or running the business. For most owners, that’s the most expensive line in the comparison.

The cost of mistakes

  • Wrong GST coding. Small errors compound across a quarter and can mean over- or under-paying the ATO.

  • Late lodgements. The ATO can charge failure-to-lodge penalties and interest on late payments.

  • Payroll and super slip-ups. With Payday Super from 1 July 2026, late super now triggers a charge much faster. Read what Payday Super means for employers.

  • Year-end clean-up. Your accountant charges to fix a messy file, often at a higher rate than a bookkeeper.

When DIY still makes sense

  • You’re a sole trader or early-stage business with low transaction volume.

  • You don’t have employees yet.

  • You genuinely enjoy it and keep the file current every week.

The middle ground

You don’t have to choose all or nothing. Many owners keep approving bills and raising invoices, while a bookkeeper handles reconciliations, payroll and BAS. You stay close to the numbers without spending your weekends in Xero.
