How to Give Your Bookkeeper Access to Xero (Adviser and Read Only)

Step-by-step: give your bookkeeper Adviser or Read Only access to Xero. Two minutes to invite us into your file, with the right level of access.

Before we can start on your books, we need access to your Xero file, and it takes about two minutes to set up. This guide walks you through both options, so you can pick the one that matches what we’ve agreed with you.

Which access level do you need?

Adviser access (full access)

What we need when Equilo is doing your ongoing bookkeeping, BAS, payroll or reconciliations.

  • Lets us code transactions, reconcile bank feeds, run reports, lodge BAS and set lock dates

  • Doesn’t change your Xero subscription or cost you anything extra

  • You can remove or downgrade our access at any time

Read only access

What we need for a health check, a quote, a one-off review or a Virtual CFO report.

  • Lets us view your transactions, reports and settings so we can scope the work accurately

  • We can’t change, delete or lodge anything

  • A good starting point if you’d like us to take a look before committing

Not sure which to choose? Go with Read only and we’ll let you know if we need more.

Before you start

Only the Xero Subscriber, or a user with Manage users permission, can invite new users. You’ll need the email address your Equilo contact has given you.

Option 1: Invite us with Adviser access

  1. Log in to Xero and check the organisation name in the top left is the right business.

  2. Click the organisation name, then click Settings.

  3. Under General, click Users.

  4. Click Invite a user.

  5. Enter your Equilo contact first name, last name and email address, and double check the email.

  6. Under Give them access to, tick Business and accounting.

  7. Under How much access do they need?, select Adviser.

  8. Tick Manage users, so we can add other Equilo team members without coming back to you.

  9. Tick Payroll admin only if we’re looking after your payroll.

  10. Click Continue, review the details, then click Send invite.

The Adviser role already includes sales and purchases, bank accounts, reports, publishing reports, lock dates and settings, so you don’t need to tick anything else.

Option 2: Invite us with Read only access

  1. Log in to Xero and check you’re in the right organisation.

  2. Click the organisation name, then click Settings.

  3. Under General, click Users.

  4. Click Invite a user.

  5. Enter your Equilo contact name and email address.

  6. Under Give them access to, tick Business and accounting.

  7. Under How much access do they need?, select Read only.

  8. Leave Manage users and Payroll admin unticked.

  9. Click Continue, then Send invite.

What happens next?

Xero emails us the invitation straight away, and we’ll accept it and confirm once we’re in. If we’re moving from Read only to Adviser later, just go to Settings, then Users, click our name and change the role.

Removing or changing our access

You stay in control of your Xero file the whole time. To change or remove access, go to Settings, then Users, click the user, then update the role or click Delete user.
